Does my POS system affect my price?
Yes — some systems integrate with QuickBooks more cleanly than others, and that changes how much manual work is involved.
For example, Qu can import sales data into QuickBooks daily in a seamless, automated way. Clover also imports into QuickBooks, but if you're in a state with sales tax, that import typically still needs some manual adjustment to post correctly. That extra manual step is real time on our end, so it's reflected in the price — a client on a system like Qu will generally see a lower price than a client on Clover, all else being equal.

Do I have to manage my own bank feeds?
You don't have to — but if you're willing to, it can lower your price.
Some clients log into QuickBooks themselves, upload receipts, and categorize and match transactions to the right vendor as they come in. When you do that, we're not chasing down receipts or guessing which vendor an unfamiliar charge belongs to — which saves real time on our side.
If you'd rather hand us the receipts and let us handle all of it, that's absolutely an option too — it just factors into a higher price point since it's more hands-on work for us.
Does payroll change my price?
Yes, in a couple of ways.
Whether we handle payroll at all. If you or your team run payroll and we just work with the resulting entries, your price is lower than if we're the ones running payroll each cycle.
Which payroll processor and time clock system you use. If we handle payroll, our work usually comes down to importing or manually entering time clock hours into your payroll processor. Some time clock systems integrate directly with certain payroll processors, which is faster on our end; others require us to enter hours by hand, which takes more time. We'll let you know which combination you're on and what to expect.
How do tips affect my price?
This depends on how your tips are tracked and who's doing the math.
If tips are captured cleanly in your POS or you send us a simple spreadsheet with each person's tips already calculated, that's straightforward and priced accordingly.
If you're tip pooling and need us to calculate each employee's share based on hours worked, that's more involved — we're doing a calculation for you, not just recording a number, so it costs a bit more.
If we're also the ones filing your annual tip reporting form (IRS Form 8027) at year end, that's an additional piece of work on top of the ongoing tip handling, and it's priced as part of your package.
